Troubleshoot an Offline Printer

Work through common printer connection checks.

Quick checks

  1. Confirm the printer is powered on and has no blocking error.
  2. For USB, reconnect the cable and try another port if available.
  3. For Wi-Fi, confirm the printer is on the correct network.
  4. Check that your computer is sending jobs to the correct printer.
  5. Clear stuck print jobs if appropriate.
  6. Restart the printer and computer, then test again.
  7. Consult official support for the exact model if the problem continues.

A printer may appear offline due to network changes, queue problems, sleep settings, or driver issues. Avoid generic third-party driver download sites.

Prevent repeat issues

Make your printer easier to rely on.

01

Keep a stable connection

Avoid moving the printer between networks without updating its setup on connected devices.

02

Remove duplicate entries carefully

Old printer entries can confuse the print dialog. Verify the active device before removing anything.

03

Record useful details

Note the model, operating system and exact error message if you need to contact official support.

For office-managed printers, consult your IT administrator before changing network, driver or queue settings.
